Refund Policy

Scope

This policy covers consulting engagements with Dataroutebase: workshops, attribution reviews, campaign source audits, and retainers. It does not cover third-party software licenses, advertising spend, or products we do not sell.

Eligibility

Refunds apply to fees paid directly to Dataroutebase for services not yet delivered, subject to the conditions below. Informational prices on this website are not invoices.

Timeframe

Refund requests must be emailed to hello@dataroutebase.digital within fourteen (14) days of the payment date for unused prepaid work, or within seven (7) days of a missed deliverable date stated in the statement of work.

Full refunds

A full refund is available if we cancel an engagement before kickoff, or if prepaid workshop seats are cancelled by you in writing at least five (5) business days before the scheduled session and no preparation materials have been customized for your data.

Partial refunds

If work has started—data review, interviews, draft taxonomies, or partial written drafts—fees for completed phases are non-refundable. Remaining prepaid amounts for undelivered phases may be refunded proportionally after deducting documented third-party costs we cannot recover.

Non-refundable items

• Completed deliverables accepted in writing or used operationally by your team
• Time already spent in facilitated sessions that occurred as scheduled
• Retainer fees for a month once that month’s briefing has been held
• Deposits explicitly marked non-refundable in a statement of work when reserved calendar time blocked other clients

Cancellation and rescheduling

You may reschedule a workshop once without fee if you give at least three (3) business days’ notice. Later changes may incur a rescheduling fee of up to fifteen percent (15%) of the session fee to cover facilitator time. Cancellations inside three business days are treated as a completed session for fee purposes unless we agree otherwise in writing.

Deposits and no-shows

Deposits secure dates. No-shows for scheduled sessions without prior notice forfeit the deposit. We will attempt one courtesy reschedule when illness or documented emergencies intervene.

Work already started and materials

Custom analysis of your event schemas, campaign parameters, and internal documents counts as work started. Purchased research materials or licensed datasets bought specifically for your engagement are non-refundable once ordered with your approval.

Refund process and timing

Email hello@dataroutebase.digital with your organization name, invoice reference, and reason. We confirm eligibility within five (5) business days. Approved refunds are returned via the original payment method within ten to fifteen (10–15) business days after approval. Bank processing times may add delay.

Retainers

Monthly retainers renew until cancelled with thirty (30) days’ written notice. Unused hours in a closed month do not roll over unless the statement of work says otherwise and are not refundable after the month ends.

Exceptions

If a statement of work states different refund terms for a named project, that document controls. Mandatory consumer protections under Thai law remain unaffected where they apply.
